Insurance agency software pricing: what to expect and what to watch for

Most agency management software hides its price behind a sales call. Here is how pricing models generally work and the questions that reveal the real monthly cost.

The common pricing models

  • Per user or per agent. The bill grows every time you add a producer or CSR.
  • Tiered plans. Starter, pro and enterprise, with the features you actually need usually sitting one tier up.
  • Modules and add-ons. A base price plus separate charges for rating, commissions, certificates, portal and more.
  • Flat fee. One monthly price for the platform regardless of headcount.

What to ask besides the monthly price

  1. What does it cost for my headcount and the features I need, all-in?
  2. What happens to the price when I add a producer?
  3. Are there setup, onboarding or data-migration fees?
  4. Is there a contract term or early-termination fee?
  5. Which integrations are included, and which need separate contracts with a third party?
  6. What does support cost?

Third-party contracts are separate

Many agencies connect to quoting tools under their own contract with the provider. Make sure you know which costs are the software vendor's and which are between you and the third party. For DarkHorse AMS, for example, your own Quotamation API contract and any Bold Penguin appointment are between you and them.

Our approach

DarkHorse AMS costs $250 per month, flat, with no per-agent pricing. One-time fees apply only for data migration or email setup and are quoted upfront. The platform includes the CRM, rater, commissions, COIs, carrier downloads and client portal.
